Sending an email campaign is an important way to engage your audience, and this section will help you understand the different ways to do so. We'll walk through each step together and discuss how you can set up and customise your audience information, as well as select the most appropriate sending options. Ready to learn more? Sending Options:

If you're looking for ways to send or schedule your campaign, the Send or Schedule button has you covered! Here, you can decide when and how your message should be sent to recipients – whether that's right away, in batches, at a later date and time, or using RSS scheduling. Just make sure to keep your options open, so your communications get sent out in the best way possible!

Send Now

The Send Now option will send the campaign to your recipients right away. You will need to fill in:

  • Sender (Form)

  • Email Subject

  • Recipient (To)

Schedule

The Schedule option will allow you to select the date and time you would like your campaign to be sent. To create a successful email campaign, you must provide:

  • Sender (Form)

  • Email Subject

  • Recipient (To)

Batch Schedule

The Batch Schedule feature enables you to split your audience list into batches, giving you control over the number of emails sent per day or per week as per your requirements. When using this feature, you'll need to provide:

  • Sender (Form)

  • Email Subject

  • Recipient (To)

Start On

As shown in the image below, you can set the date and time you want to send out the first batch quantity.

Here you see the total number of recipients selected for the batch schedule.

Batch Quality

This shows the number of recipients that will be sent each batch.

Repeat After

Select the time interval of each batch sent out.

Send On

Select the days of the week you like the email to be sent.

Specify Start and End Time

You can decide the exact start time and end time of each day you have chosen.

RSS Schedule

The RSS Schedule feature allows you to create a schedule for your blog posts or updates that you want to send to your email list.

  • Sender (Form)

  • Email Subject

  • Recipient (To)

Sender (From)

While setting up an email campaign, there are several pieces of information you need to provide. To begin with, in the Sender (From) section, enter the email address and name that will appear in the recipient's inbox as the sender. This step is crucial for establishing a clear point of contact and maintaining a professional appearance in your email communications.

Email Subject

Moving on to the next step, locate the Email Subject section and input your desired subject line. Additionally, provide a preview text that will be shown in certain email clients. By crafting a compelling subject line and preview text, you can capture the attention of your recipients and encourage them to open and read your email, ultimately enhancing the effectiveness of your communication.

Recipient (To):

Lastly, in the Recipient (To) section, input the details of your intended recipients. You have the option to choose them from existing contacts, smart lists, or tags within your system. By utilising these options, you can efficiently target specific individuals or groups, ensuring that your email reaches the appropriate audience and achieves its intended purpose.

Choose Contacts

By opting for the Choose Contacts feature, you gain the ability to select recipients directly from your existing contacts within the system. To further streamline the process, use the search bar to quickly locate specific individuals by entering their relevant details. This functionality ensures that you can efficiently target and engage with your desired audience in your email campaigns.

Send to Smart List

The Send to Smart List feature enables you to send your email campaign to a smart list that you have created in the contact section of your CRM.

Advanced Conditions

Suppose you have already scheduled your email campaign for a future date and have 100 contacts in the smart list you want to send the campaign to. Now, imagine that due to some external factors, 10 more contacts are added to the same smart list. You must decide whether you want to include the new contacts in your email campaign or limit it to the original 100 contacts. You can make this choice by selecting from the dropdown menu within the Advanced Conditions option.

Choose Contacts from Tags

To send your email campaign to contacts with specific tags, select the relevant tag from the dropdown menu, which displays the tags you have created in your CRM. The contacts associated with the selected tag will be added to the email campaign.

Advanced Conditions

Suppose you have scheduled an email campaign for a future date and have selected a tag with 50 contacts associated with it. Later, 10 more contacts get added to the same tag due to external events; in this scenario, you must decide whether to include the new contacts in your email campaign or limit it to the original 50 contacts. You can make this decision by selecting from the dropdown menu within the Advanced Conditions option.

Action Menu

In the email campaign creation process, you'll come across these three options: Cancel, Save, and Send.

Cancel - If you don't want to save the changes you have made, you can click on Cancel and return to the previous menu.

Save - Use this to save the changes you have made for your sending options, scheduling, and audience targeting.

Send - Use this when you have already designed your email campaign, set the audience, subject line, and everything and you want to send your campaign right away or on schedule
